Bit Space Code of Conduct

The Bit Space staff is looking forward to providing your child with a fun, memorable, and safe experience. Each participant has a responsibility to act in a way that assures a positive experience for all. All participants are required to follow these guidelines.

Behavior Guidelines

  • Participants shall be responsible for their words and actions, be respectful of others, follow directions from staff members, and leave all electronic devices at home (such as iPods, handheld computer games, MP3 players, and cell phones.) A parent/guardian must seek permission from the camp director in order for the camper to be able to carry a cell phone for emergencies.

Prohibited Behaviors:

  • Endangering the health and safety or putting into dangerous situations themselves, other participants, or Bit Space employees.
  • Stealing, damaging, or failing to care for Bit Space or personal property; continual disruption of the program; refusal to follow the behavior guidelines; inappropriate physical contact; using profanity or inappropriate language or displaying clothing or other personal items with offensive content; bullying or acts of aggression or violence either physical or verbal.
  • Possession or use of illegal substances/tobacco/alcohol or weapons (any object that may cause harm to another, or place another person in fear of his/her safety, may be considered a weapon).

When a Participant doesn't follow the behavior guidelines:

  • Guides will redirect the participant to a more appropriate behavior; the camper will be reminded of the behavior guidelines.
  • First Occurrence: Persistent misbehavior will be discussed with the parent or a written notice will be forwarded to the parents to request a meeting to discuss the matter. Parental failure to respond will result in your child being terminated from Bit Space summer and after-school programs. Written documentation will include what the behavior problem is, what provoked the problem, and the corrective action taken.
  • Second Occurrence: If the problem persists to the point where a second phone call or written notice becomes necessary, the Bit Space Director may find it necessary to have the participant picked up early from the program.
  • Third Occurrence: If a participant’s behavior at any time threatens the immediate safety of him/her, other campers, or staff, the parent/guardian will be notified and expected to pick-up the child immediately, and Bit Space reserves the right to terminate participation in Bit Space programs without a refund to parents.
  • Failure to comply with the Code of Conduct may result in the removal from the program and/or additional fees. There will be no refunds given for campers who are removed from the program due to violations of the Code of Conduct.

Medical and Emergency Policies

Bit Space does not administer medication of any kind. Therefore, staff should not be asked to administer shots or oral medication. If a child is required by a doctor to take medication, the medication should be administered at home. If any medication is required during Bit Space activities, a parent or guardian of the child may:

  1. bring the medication, oral or injection, in the original container with the child’s name on it to Bit Space for the child to administer him/herself under the supervision of the Senior Staff (all medication will be kept in the office)
  2. accompany or join the child at the program in order to administer the medication.

Bit Space will always try to provide a safe and healthy environment for your child/children. In the event of an emergency, the staff will follow the following procedures:

  • We will call 911 for medical professionals to handle any serious accidents.
  • A call will be made to you to inform you of the situation. If you cannot be reached, we will call the emergency number(s) you have given us on the Emergency Information Form.
  • If your child needs medical care, a staff member will accompany him/her to the nearest hospital and will remain with him/her until a Parent or Guardian arrives. Medical treatment will not begin until the hospital receives your permission.

Authorized Pick-Up Persons, Sign-Out Policy, Late Fees, and Absences

  • Only those persons authorized in writing on the Emergency Information Sheet may pick up a child. We will not release any child to an unauthorized person for any reason. If you plan to have your child picked up by someone other than an authorized person, it is necessary to notify the Bit Space Director in writing.
  • When you pick up your child, you must enter the building, sign the attendance sheet and write down the time.
  • Summer Camps and Full-Day Camps end at 4 p.m., unless a child is registered in aftercare. If a child is not picked up by the 4 p.m. end time, he or she will be enrolled in the aftercare daily rate of $10 per child per hour. Aftercare ends at 6 p.m. All children must be signed out at this time. If a child is not picked up by the 6 p.m. end time, a $25.00 per each 15 minutes late fee per child will be assessed.
  • If for any reason your child will be absent from camp, please notify us.

A child who leaves Bit Space or grounds without permission can be dropped from Bit Space programs without a refund to the parents.

Attire

During the program, your child should wear comfortable clothing and shoes. Remember, your child will be involved in a maker/building program using hand tools and machinery and should dress according to the following guidelines:

  • Bit Space requires that all participants wear required safety equipment which includes protective eye and ear wear; avoid wearing loose fitting clothing; remove all jewelry including necklaces, bracelets, watches and rings; secure long hair away from the face and shoulders to prevent entanglement; wear closed toed shoes at all times (participants who arrive in open toed shoes will be sent home and asked to return with appropriate footwear).
  • All valuables should be left at home. We cannot be responsible for, or replace, any item lost or taken. All items that your child will be bringing should be clearly labeled with the child’s full name.

Lunch

Children registered for Summer Camps and Full-Day Camps must bring a lunch each day. If you do not provide a lunch, then you will be charged a $5-10 lunch fee and your child will be provided lunch.
You may also provide your child(ren) with a snack to be eaten outside of lunch hour.

By entering your full name into this field, you are digitally signing this Code of Conduct. You assert that you are the person stated, have thoroughly reviewed the Code of Conduct with your child(ren), and willingly assume all risks as listed above.

Bit Space Waiver

As Consideration for being allowed to enter the classroom area, shop area and/or Participate in any party and/or program at Bit Space the undersigned, on his or her behalf, and on the behalf of the Participant(s) identified below, acknowledges, appreciates, understands, and agrees to the following:

  1. I represent that I am the parent or legal guardian of the Participant(s) named on these forms or I have obtained permission from the parent/legal guardian of the Participant(s) named on these forms to execute this agreement on their behalf.
  2. I acknowledge and understand that there are known and unknown risks associated with participation in Bit Space activities and the use of the shop area, classroom area and any and all other Bit Space equipment, including but not limited to the CNC machine, laser cutter, power, cutting and drilling tools (including, but not limited to drill press, various saws, hammers, wrenches, screwdrivers, etc.) and open play at nearby parks, which include but are not limited to: contusions, fractures, scrapes, cuts, bumps, paralysis, or death. I understand that in any class or activity my child may use inherently dangerous tools, equipment, machines, chemicals or substances. I agree that my child will attend the safety orientation at the beginning of class and will not use equipment or materials without familiarizing themselves with their safe use under the supervision of a Bit Space employee. I will educate and inform myself and my child on the inherent dangers and risks that are associated with participation in that particular class. I will inspect the facility and equipment to be used, and if I believe anything is unsafe, I will immediately advise Bit Space Management of such condition. Risks of this nature could lead to illness, serious injury or even death.
  3. I am aware that my child’s own behavior can affect his/her personal safety and the safety of others involved in Bit Space, LLC’s classes and activities. He/she will act according to Bit Space, LLC’s policies as described in the information presented in the safety orientation. I understand that failure to comply may result in my child’s dismissal from Bit Space, LLC’s, at its discretion and my expense.
  4. I, for myself and the Participant(s) named, willingly assume the risks associated with participation and accept that there are also risks that may arise due to OTHER PARTICIPANTS which I also willingly assume.
  5. I agree that the Participant(s) named, and I shall comply with all stated and customary terms, posted safety signs, rules, and verbal instructions as conditions for participation in any classes, camps, parties and/or any other classes or events at Bit Space.
  6. I, for myself, the Participant(s) named, our heirs, assigns, representatives, and next of kin agree to hold harmless, release, waive and indemnify the independent owner of this Bit Space facility, LLC, their predecessors, parent, subsidiaries and affiliates, officers, and employees from any and all injuries, liabilities or damages from participation, except for those arising from the gross negligence or willful misconduct of Bit Space.
  7. I additionally agree to indemnify the independent owner of this Bit Space facility, LLC, their predecessors, parent, subsidiaries and affiliates, officers, and employees for any defense cost or expense arising from any and all claims, injuries, liabilities or damages arising from participation, except for those arising from the gross negligence or willful misconduct of Bit Space.
  8. My child is of physical ability to participate and I am legally competent to understand and complete this agreement on behalf of participant(s) as his/her legal guardian or parent . I hereby execute this agreement without coercion.
  9. The invalidity or unenforceability of any provision of this Agreement shall not affect the validity or enforceability of any other provision of this Agreement, which shall remain in full force and effect.
  10. Any controversy, dispute, or claim arising out of or related to this Agreement, which the parties are unable to resolve by mutual agreement, shall be settled exclusively by submission by either party of the controversy, claim or dispute to binding arbitration; said arbitration to take place exclusively before a single arbitrator located within 25 miles of the Event location and in accordance with the rules of the American Arbitration Association then in effect.

I have carefully read this consent form, have been given the opportunity to ask questions and fully understand its contents. No representations, statements, or inducements, oral or written, apart from this form, have been made. My agreement to the provisions in this form is voluntary. I am aware that this is a release of liability and a binding contract between myself and Bit Space, LLC, and I sign it of my own free will. This agreement will become effective on its receipt by Bit Space, LLC and will be governed by the laws of the State of Illinois. To the extent any provisions of this document are found to be invalid, all other provisions within this agreement shall remain in effect.

Parent/Legal Guardian Declaration

I am the parent or legal guardian of the named applicant(s), have read the Consent Form, and will be legally responsible for the obligations and acts of the applicant as described in this form, and agree, for myself and for the applicant, to be bound by its terms.

Risk

I have made my own investigation and inspection of the facility and equipment to be used and am willing to accept the above described risks.

Field Trips

As part of daily programming, your child(ren) may attend a daily field trip, weather permitting, to a nearby park. We will travel to and from the park on foot. Your initials serve as permission for your child(ren) to travel with the Bit Space staff for the purposes of this field trip.

Photography

Photography and videos are periodically taken of participants during programs, special events, trips, or at Bit Space. These photographs may be used in Bit Space publications, social media, blogs, websites, or local newspapers.
